Equipment Required

Audio-Visual Requirements
Data Projector: With computer input, RCA video input, and S-Video input. Ensure that all cables are available: power cable, cable between computer and projector, RCA cable, and S-Video cable.

Screen: Large, classroom style screen. In the absence of a screen we can use a white wall.

Video playback machine: VHS PAL (not NTSC).

Loudspeaker / Sound System: We will be viewing a number of videos as well as playing CD soundtracks, and we need to ensure that we will be able to play back high quality sound. While most projectors have built-in speakers, they are usually not adequate. Most hotels do however have speakers built into their conference rooms - if the venue that we will be using does have this facility, please ensure that the speakers in question are functional, and that we will be able to attach the video machine to the speaker system.

Failing this, we will require a separate, powered / amplified speaker for playback of the video soundtrack. Please ensure that power pack for the speaker, and all cabling are together with the speaker.

As another alternative, we could get away with a powerful set of computer speakers. But be sure to provide the cabling/wiring and the power pack / electrical supply for these speakers (normally computer speakers are powered by their own power pack and electrical cord. Some PC's however power the speakers direct – these speakers won't work for us). Note that Hi-Fi speakers won't work either - they are not powered or amplified.

Failing a pair of computer speakers, we can also get away by playing the videos back on a normal TV monitor, as opposed to using a projector to view the videos on a big screen - but this will only work for groups of less than 15 people. A small, training room type TV will not work – we need a big TV (the size one normally has at home), to ensure that all delegates have a good view.

I could solve the whole problem and simply bring a speaker - but this will attract additional costs in the form of overweight baggage - normally about ZAR2 500-00 / US $250-00, which will be for your account.


Materials Supplied
  • At least two flipcharts with ample clean paper and pens (at least three colours per flipchart, plus spare pens).
  • Delegate stationery for each delegate – that should include a pen and a note pad. Although delegates will be supplied with workbooks, they often need the note pad for ad hoc notes and “scribbles”.

Audio-visual requirements for Leynote Presentations and Speaking Engagements
1. Microphone:

Cordless headset (preferable) or lapel microphone, with fresh batteries.

Backup: Additional cordless, handheld radio microphone, also with fresh batteries. If a cordless, handheld radio microphone is not available as a backup, then a microphone on a very long cord, allowing free movement across the entire width of the front of the room.

2. Data / Video Projector:

I carry my own laptop, and run Microsoft PowerPoint (version 2000).

I insist on having control over the laptop, rather than having it stand at the technical desk, and being operated by the technicians. Therefore, the laptop needs to be set up IN THE FRONT OF THE ROOM at the lectern / podium. This means that the cabling from the laptop to the data projector needs to be run to the lectern, and not to the technical desk - this will require a long VGA cable, and may necessitate the installation of a booster if the cable is very long. Please ensure that the data cable is tested with another computer prior to my rehearsal. There should also be a 220V electrical power point source at the lectern.

We will also require a screen. For large audiences, multiple projectors / screens are advisable.

REST ASSURED however that I am not computer dependant - I am perfectly able to present without the aid of a visual presentation, should it become necessary as a result of an IT equipment malfunction. The visuals are merely for added impact.

3. Sound From Laptop:

I play back music and sound from my laptop. This requires a sound cable to be run from the lectern (where my laptop will stand) to the sound desk. The sound output socket on my laptop is a "mini jack". Please ensure that the sound line is tested prior to my rehearsal to ensure that it is free of feedback or sound interference. All my music and sound is licensed.

4. Note to the Technical Team:

Forgive me if the overload of detail insults you - but I am often at the mercy of less experienced teams (in which case the detail could save the day!). In spite of the "over-the-top" detail, I am easy to work with! So relax! We will "wing" it together on the day. I look forward to working with you.
